Overview
Taiwan-based Emers Group is a multi-business group, but when it was first established, in 1997, it started with the raw materials industry. Over time, Emers Group has grown steadily and expanded into a diverse group of businesses including raw material trading, traditional media, digital media, e-literature, PR, sports & event marketing, sports brand distribution (wholesale, eCommerce & retail), and arts & cultural foundation.
In 2013, Emers Group became the leading Nike Golf retailer in China and was subsequently granted exclusive distribution rights in Taiwan. In 2017, Emers Group expanded its sales scale to neighboring markets like Hong Kong and Macao. And in 2019, Emers Vietnam was established and became the official - exclusive distributor of Nike Golf in Vietnam.
Up to the present time, in addition to Nike, Emers Vietnam is also a genuine importer and distributor of accessories and sportswear of many international brands such as Descente, GFORE, Champions, Asics... through the chain of retail stores in shopping malls and e-commerce website Ash.vn.
Challenges
Emers has a big economic opportunity in Vietnam, which has a population of about 100 million people, the majority of whom are young people who are passionate about sports and fashion products. However, how to effectively manage and execute all supply chain activities, from purchasing, warehousing, and accounting, to the management of online and offline sales channels, is a giant difficulty.
To meet these problems, the Emers team spent a significant amount of time researching various options before choosing Odoo because they valued its comprehensiveness, adaptability, and flexible integration capabilities.
However, before working with A1 Consulting, Emers's Odoo project did not move as well as envisaged due to various shortcomings in the manner in which it collaborated with implementation support units.
Solutions
After taking care of the project, the A1 Consulting team conducted an in-depth survey to identify Emers‘s business difficulties in Vietnam; and then investigate the cause of failure in the previous implementation to avoid going down the same path.
Based on Emers' existing condition and needs, and with the assistance of A1 Consulting professionals, both parties have agreed on a plan to optimize the system through the introduction of the following modules: Sales, POS, Inventory, Purchase, Invoicing, and Accounting.
In addition to enhancing Odoo module operations, A1 Consulting provides integrated Odoo solutions including the Viettel S-Invoice - e-invoice solution, Odoo - Shopify integration, and Odoo POS integration with Delfi hardware.
Emers ERP is one of the typical projects for A1 Consulting's Odoo Deployment Methodology, which is divided into separate small projects and has a separate SPOC* for each project.
Small projects in the overall Odoo project of Emers and A1 Consulting include:
- Emers Retail
- Emers Logistics
- Emers Accounting
- Emers E-Commerce: Odoo and Shopify integration
* SPOC is an abbreviation of “Single Point of Contact”. A Single Point of Contact is exactly that – an only contact point. SPOC has a crucial role in IT projects, especially ERP projects. SPOC can be a Project Manager or Business Analyst.
Emers Retail
During the survey, A1 Consulting discovered that Emers is having problems addressing retail consumers' needs in its commercial outlets. Emers in Vietnam does not have a fully integrated point of sale - POS system that can streamline its retail business procedures.
The "Emers Retail" project, which was built on Odoo Enterprise 15's accessible features, assisted in resolving issues such as:
- Multi-branch management: Decentralize users for each warehouse and store; Create a new store (unlimited number of stores); Separate price list for each store; Each store has its payment mechanism.
- Management of membership cards: Many stores employ membership cards (Get points and pay with points in the system).
- Promotion management: Configure numerous promotions based on their unique characteristics; automatically record sales entries based on each invoice.
- Sales shift management: Consists of a sales department manager and shift sales personnel.
- Supply chain management: Includes central warehouse, retail store, and flexible warehouse management, as well as real-time stock tracking, inventory management across all locations, and shipment review with Odoo Inventory.
- Reports: Include sales reports by store and salesperson, as well as profit reports by day, week, month, quarter, and year.
The successful completion of the Emers Retail project is a significant step toward expanding the presence of Emers retail locations in Vietnam.
Emers Logistics
Owning a sales channel with numerous items and a large volume of goods coming in and out daily; how to successfully manage inventory is also a major concern for Emers' operations team.
The "Emers Logistics" project has made life easier by assisting in the resolution of bottlenecks such as:
- Import Stock Move form DO & Transfer.
- Implement 1 import step for Master Product & 1 step import for PO.
- Customize reports according to product-specific properties, and export reports in Excel format instead of the current PDF.
Emers Accounting
Accounting activities are at the heart of every organization, even with Emers. The "Emers Accounting" project intends to provide Emers a healthy heart by utilizing new integrations and improvements from A1 Consulting, which has assisted in optimizing accounting procedures with the localizations Odoo solution.
- Provide reporting forms according to Vietnam's regulations: The app complies with Vietnamese Accounting Standards (VAS), specifically Circular 200.
- Fix some accounting issues: Edit form: Balance Sheet, Profit & Loss, Cash Flow Statement.
- Integrated Viettel S-invoice: Support creating and synchronizing invoices from the Odoo system to Viettel S-invoice system accurately to simplify VAT invoice issuance for customers.
Emers E-Commerce: Odoo and Shopify integration
As previously stated, in addition to owning a retail chain, Emers also constructs and deploys the Ash.vn e-commerce site using the Shopify platform. This enterprise is particularly interested in managing orders from multiple channels and eliminating risks such as lost orders, slow delivery, loss of client information, and so on.
The deployment of the "Odoo - Shopify Integration" project is viewed as the ideal way to assist Emers in addressing that concern and providing a multi-channel experience for online and offline buyers, via Loyal customers and unique promotions programs.
- Synchronize products between Odoo – Shopify: Managing master data (product information, price, and quantity) in Odoo; Limited fields when mapping between systems; Classified lists can be synchronized from Odoo to Shopify.
- Centralized Ordering Management: Automatically update inventory info from Odoo; E-commerce website’s managers can assign specific warehouses for orders in Odoo; Real-time Inventory update; Managing promotion programs
- Provide Portal system for vendors to update products and view orders.
Results
After officially applying Odoo ERP system with features built by A1 Consulting, Emers has recorded extremely positive results:
- Successfully apply 4 projects (Emers Retail, Emers Logistics, Emers Accounting, Emers E-Commerce) into the enterprise's operating system.
- Train 100% of staff to be proficient in using Odoo ERP systems. All employees feel satisfied and can quickly become familiar with the operating mechanism to run the business effectively.
